Business profiles may contain business information and, in some cases, personal information. Information we collect, create, publish or process in relation to business profiles may include:

  • business name, trading name, ABN, ACN or other business identifiers;

Some business profile information may relate to individuals, including sole traders, freelancers, creators, brokers, individual professionals, agents, consultants or representatives. We treat such information carefully where it is personal information.

  • message content and service requirements;
  • location, suburb, city, state or service area relevant to the request;

Users should avoid submitting sensitive information through QX Web unless it is necessary for the enquiry and they understand that relevant details may be processed by QX Web and, where appropriate, shared or facilitated with a provider.

4.5 Payment, subscription and billing information

4.6 Communications and support information

If you communicate with us, we may collect records of emails, phone calls, messages, forms, complaints, feedback, sales discussions, customer support requests and other communications.

If QX Web introduces profiles for sole traders, creators, influencers, freelancers, contractors, individual professionals or similar providers, we may collect professional profile information such as public handles, portfolio links, platform follower counts, service categories, collaboration preferences, quote ranges, availability, contact preferences and business-related verification information.

5. How we collect information

We may collect personal information and business profile information in several ways, including:

  • directly from users when they use forms, accounts, enquiry tools, business portal features or communications;
  • directly from business users when they create, claim, update, verify, confirm or remove profiles;
  • from publicly available sources, including business websites, public registers, public directories, search results, social media pages, ABN information where available and other publicly accessible business information;
  • from analytics, cookies, server logs and technical tools;
  • from service providers that help us operate the platform, such as hosting, database, analytics, email, support, payment or security providers;
  • from business partners, contractors, data enrichment workflows, manual research or user-submitted corrections;
  • from users or providers who report inaccurate, outdated or inappropriate information.

Where we receive information from public sources or third parties, we may combine it with information submitted directly to QX Web to create, improve, verify or maintain business profiles. We encourage business representatives to claim and update profiles so information remains accurate and current.

6. Public business listings and business profile information

QX Web publishes business profiles to help users discover, compare and contact Australian business service providers. A business profile may display information such as business name, ABN, location, contact details, website, social media links, services, languages, descriptions, images, claim status, verification status and other relevant business information.

Some business profile information may be obtained from publicly available sources. We do not guarantee that all public source information is complete, current or error-free. We may edit, structure, categorise, translate, enrich, summarise or otherwise process information for directory, search, comparison, platform quality, SEO, user experience and business discovery purposes.

Where a profile contains personal information, particularly for sole traders, individual professionals, creators, freelancers, brokers or representatives, the individual or authorised business representative may contact us to request access, correction, removal, suppression or other handling. We may require evidence of identity or authority before making changes.

QX Web may refuse, delay or limit a request to update, publish, remove or suppress a profile where we reasonably consider that doing so is necessary to protect platform integrity, prevent fraud, comply with law, preserve records, resolve disputes, protect users or providers, or where the request cannot be verified.

7. How we use information

We may use personal information and business profile information for purposes including:

  • operating, maintaining, improving and securing QX Web;
  • creating, displaying, organising, updating and maintaining business profiles;
  • allowing users to search, browse, compare and contact providers;
  • receiving, managing and facilitating enquiries;
  • notifying providers that an enquiry, claim, update, profile issue or platform message exists;
  • allowing providers to claim, verify, edit, confirm or remove profiles;
  • managing user accounts, business portal access, authentication and support;
  • processing paid subscriptions, advertising packages, invoices, renewals, cancellations, refunds and billing support, where applicable;
  • measuring website performance, search visibility, user behaviour and platform usage;
  • improving data quality, search relevance, service categories, profile completeness and user experience;
  • detecting, preventing and responding to spam, fraud, abuse, security incidents, misuse, unlawful activity or policy breaches;
  • sending service messages, account notifications, product updates, claim invitations, profile reminders, verification reminders, billing notices and support communications;
  • sending marketing or promotional communications where permitted by law and subject to unsubscribe options where required;
  • conducting research, analytics, reporting, internal business planning, product development and commercial analysis;
  • complying with legal, tax, accounting, regulatory, dispute resolution and audit obligations;
  • enforcing our Terms of Service, policies and agreements.

8. Enquiries, provider communications and lead handling

When a user submits an enquiry through QX Web, QX Web receives and processes the enquiry. QX Web may notify the relevant provider that an enquiry has been made and may facilitate communication between the user and the provider through email notifications, portal messaging, platform-controlled communications or other features.

Unless and until QX Web implements a direct provider messaging feature, a user enquiry may be managed by QX Web and may not be sent as a direct email from the user to the provider. We may determine the appropriate method of notifying the provider, handling the enquiry, protecting user information and facilitating a response.

We may share relevant enquiry information with a provider where it is necessary or appropriate to respond to the user's request, where the user has authorised us to do so, where a platform feature clearly indicates that the information will be shared, or where otherwise permitted by law.

If QX Web offers a feature that allows users to request recommendations from additional providers, we may share relevant enquiry details with selected providers only where the user chooses or authorises that feature, or where otherwise clearly disclosed. We may limit the number of providers, select providers based on relevance or platform rules, and keep records for quality, compliance, audit and dispute purposes.

Providers that receive enquiries through QX Web must use the information only to respond to the relevant enquiry or provide the requested service, and must not misuse, sell, resell, spam or unlawfully disclose enquiry information.

QX Web does not guarantee that any provider will respond to an enquiry, that any enquiry will result in a transaction, or that any user or provider will be suitable, available, reliable or compliant with applicable laws.

9. Business accounts, claiming, editing, verification and removal

QX Web may allow business users to claim, edit, update, verify, confirm, remove or manage business profiles. We may require information to verify that the person requesting access is authorised to act for the relevant business or provider.

Where a business user updates a profile, we may review, approve, reject, modify, moderate, format or delay publication of updates to protect users, prevent misuse, maintain platform quality or comply with legal and operational requirements.

Business users are responsible for ensuring that information they submit is accurate, current, lawful, non-misleading and authorised for publication. Business users must not submit another person's personal information unless they have appropriate authority or consent.

A business representative may request that a profile be removed, unpublished or suppressed. We may require evidence of identity, authority or ownership before actioning the request. We may retain certain information or records where required or permitted by law, for audit, accounting, security, fraud prevention, dispute resolution, historical platform integrity or legitimate business purposes.

Where a profile is removed or unpublished from public display, cached copies, search engine results, third-party archives, screenshots or external references may remain outside our control.

10. Payments, subscriptions, advertising packages and billing

QX Web may offer paid services such as subscriptions, featured placements, advertising packages, verified profile features, local boost placements, business portal features, lead-related services or other commercial products. Where these services are offered, payment, subscription and cancellation terms may be set out in our Terms of Service, plan terms, checkout page, invoices or other applicable terms.

If a paid plan renews automatically, we will aim to disclose the price, billing period, renewal date and cancellation method at or before checkout. Users and providers are responsible for reviewing payment terms before subscribing.

Payment processing may be handled by third-party payment providers. We may receive limited payment and billing information from those providers, but we do not intend to store full credit card details on QX Web servers.

We may retain billing, transaction, invoice and subscription records for accounting, tax, audit, dispute resolution, fraud prevention, compliance and legitimate business purposes.

11. Cookies, analytics and search performance tools

QX Web uses cookies, analytics tools, search performance tools and similar technologies to operate the website, understand usage, improve performance, secure the platform, remember preferences and analyse search visibility.

We currently use Google Analytics and Google Search Console. These tools may collect information about how users find and use QX Web, including pages visited, search performance, device information, approximate location, referring pages and other usage data. Google may process this information in accordance with its own privacy policies and terms.

We may also use similar analytics, performance, tag management, advertising, conversion measurement or security tools in the future. Users can manage cookies through browser settings, device settings or cookie controls where available. Disabling cookies may affect some website features.

A separate Cookie Policy may provide more detail about the types of cookies and tracking technologies we use.

12. Artificial intelligence and automated tools

QX Web may use automated tools, including artificial intelligence or machine learning technologies, to support search, categorisation, data quality, profile enrichment, duplicate detection, spam detection, translation, recommendations, customer support, analytics, SEO or platform operations.

We do not currently use automated tools to make decisions that have a legal or similarly significant effect on individuals. If this changes, we will update this Privacy Policy or provide additional notices where required.

AI-assisted outputs may be reviewed, corrected or supplemented by human team members. QX Web does not guarantee that automated suggestions, categorisations, translations or recommendations are error-free. Users and business users should review important information before relying on it.

13. Direct marketing and communications

We may send users or business users service-related messages, such as account notices, security notices, enquiry notices, profile update reminders, claim notifications, verification reminders, billing notices, policy updates and support communications.

We may also send promotional or marketing communications about QX Web services, business profile features, advertising opportunities, featured placements, subscriptions, lead services, product updates, events or partner opportunities where permitted by law.

Where required, marketing communications will include an unsubscribe or opt-out mechanism. Even if a person opts out of marketing, we may still send non-promotional service, transactional, legal, safety or account-related communications.

14. When we disclose information

We may disclose personal information and business profile information to:

  • relevant providers, where necessary or appropriate to facilitate an enquiry, business profile management, platform communication or user request;
  • users, where information is published on a business profile or otherwise made available through QX Web;
  • service providers that help us operate QX Web, including hosting, database, storage, analytics, email delivery, customer support, payment processing, security, CRM, communication, backup and infrastructure providers;
  • contractors, employees, advisers and consultants who assist QX Web under confidentiality or appropriate access controls;
  • payment processors, banks and financial service providers where needed for billing or payment processing;
  • professional advisers such as accountants, lawyers, auditors and insurers;
  • regulators, courts, law enforcement agencies, government authorities or other parties where required or permitted by law;
  • potential purchasers, investors, partners or successors in connection with a merger, acquisition, investment, financing, restructure, sale of assets or business transfer, subject to appropriate confidentiality arrangements where applicable;
  • other parties with consent, at the direction of the user or business user, or as otherwise permitted by law.

We do not sell personal information in the sense of selling user identity details to unrelated third parties for their independent marketing use. However, QX Web may charge providers for platform services, advertising, featured placements, profile upgrades, subscriptions or lead-related services, and may facilitate enquiries or provider recommendations in accordance with this Policy and applicable terms.

15. Overseas disclosure and cloud service providers

QX Web uses cloud-based and online service providers. Some providers may store, access or process information outside Australia, including in the United States, Singapore, the European Union or other locations where our service providers or their infrastructure operate.

These providers may include hosting, database, storage, analytics, email, payment, CRM, security, communications and support providers. We take reasonable steps to choose reputable providers and use contractual, technical or operational safeguards where appropriate.

By using QX Web, you acknowledge that information may be processed or stored outside Australia where this is necessary for the operation of the platform or the use of third-party services.

16. Security

We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification or disclosure. These steps may include access controls, authentication, role-based permissions, secure cloud infrastructure, backups, encryption where appropriate, monitoring, internal policies and staff or contractor access limitations.

No method of electronic transmission or storage is completely secure. We cannot guarantee absolute security of information transmitted to or stored by QX Web. Users and business users are responsible for keeping account credentials secure and notifying us promptly if they suspect unauthorised access or misuse.

If we become aware of a data breach, we will assess and respond to it in accordance with applicable legal obligations, including any mandatory notification requirements that apply to us.

17. Data retention

We retain personal information and business profile information for as long as reasonably necessary for the purposes described in this Privacy Policy, including providing QX Web, operating business profiles, handling enquiries, supporting accounts, maintaining records, improving the platform, meeting legal obligations and resolving disputes.

Retention periods may vary depending on the type of information, how it was collected, legal or accounting requirements, security needs, dispute risks, platform integrity requirements and user or business requests.

We may retain certain records after an account is closed, a profile is removed or an enquiry is completed where required or permitted for legal, accounting, tax, audit, fraud prevention, security, compliance, backup, dispute resolution or legitimate business purposes.

Where practical and appropriate, we may delete, de-identify, anonymise, aggregate or archive information that is no longer required in an identifiable form.

18. Access, correction, deletion and profile removal requests

You may contact us to request access to personal information we hold about you, or to request correction of inaccurate, out-of-date, incomplete, irrelevant or misleading personal information.

You may also request deletion, removal, suppression or unpublishing of information, including business profile information that contains your personal information. We will consider such requests in accordance with applicable law, platform integrity requirements and our legitimate business needs.

We may need to verify your identity, your authority to act for a business or your relationship to a profile before providing access, making corrections, removing information or taking other action. We may refuse, limit or delay a request where permitted by law, where we cannot verify the request, where the request is unreasonable, vexatious or fraudulent, or where retention is required or justified.

Business users with portal access may be able to update certain information directly. Some updates may require review or approval before publication.

Requests can be sent to info@qxweb.com.au.

19. Accuracy of information

We take reasonable steps to maintain accurate and up-to-date information, but QX Web relies on information from public sources, providers, users, business representatives and third parties. We do not guarantee that all business profiles, public information, contact details, descriptions, services, prices, availability, verification status or other information are complete, current, accurate or suitable for any particular purpose.
